Make it easy to pay the right invoice

An accounting firm’s payment problem is often an allocation problem. A client may pay several invoices together, make a partial payment, or use a different payer name from the engagement. A useful setup records enough reference information for the office to identify what has been paid.

Before comparing providers, choose three examples: a one-off tax engagement, a recurring bookkeeping client, and a larger advisory invoice. Work through each from invoice delivery to reconciliation.

Cards, ACH, and payment links serve different needs

Cards can be convenient for a client who wants to settle immediately. ACH may be worth comparing for larger or recurring invoices, but fees, authorization, returns, and settlement timing need to be understood. Neither method is automatically the best choice for every engagement.

A hosted payment link can send the client directly to the appropriate payment page without asking them to read card details over the phone. Check that the invoice reference survives into exports and reports; a payment confirmation alone may not be enough for posting.

Use clear authorization for recurring engagements

For an ongoing service, state the amount or how it is determined, the billing schedule, and the cancellation process. If your gateway supports stored payment credentials, use its approved tokenized tools rather than maintaining a document of card numbers.

Plan what happens when a fee changes or a payment fails. Decide who contacts the client and who updates the payment schedule. A recurring workflow should reduce administrative ambiguity, not just automate the charge.

Keep client records and payment records appropriately separated

A transaction description should identify the invoice without exposing tax identifiers or confidential engagement details. Give staff individual access and limit refund or export permissions to the roles that need them.

Evaluate cost at the invoice level

Request a written schedule showing processing, gateway, monthly, ACH, refund, and software charges where applicable. Apply it to your actual payment mix. For an illustrative comparison, calculate each quoted percentage against the same invoice amount and add every per-payment charge; do not compare percentage figures alone.
