Square Account Deactivated? A Practical Next-Step Guide

Learn what to document after a Square deactivation, how to check appeal options, and how to prepare for a separate merchant-account review.

Read the account notice before changing anything

A deactivation can interrupt checkout and leave an owner with urgent questions about outstanding payments. Start with the notice in your Square account and retain a copy. Separate three issues: whether new payments are enabled, what happens to existing funds, and whether an appeal is available.

Square states that some deactivated accounts may be eligible for appeal. Follow the instructions that apply to your account and provide the requested documentation through official channels. Do not assume another merchant’s timeline or outcome applies to you.

Preserve the records needed to serve customers

Export the records you are permitted to access: transaction history, open invoices, refunds, disputes, and relevant customer orders. Keep a list of goods or services still owed to customers. This helps your team avoid losing track of obligations while arranging future acceptance.

Check an existing transaction’s status before asking a customer to pay again. A new provider does not erase the original sale, refund obligation, or dispute. Reconcile the old and new systems separately during a transition.

Prepare an accurate business explanation

For a new account review, describe what you sell, how customers find you, when delivery occurs, and how refunds work. Include processing statements, unusually large orders, subscription terms, and the deactivation notice when requested through a secure channel.

Disclose the business model and history accurately. Opening accounts under a misleading category or someone else’s identity is not a sound recovery plan. A provider needs enough information to assess the actual transactions it would be supporting.

Compare the terms of any proposed replacement

Ask about settlement timing, reserves, transaction limits, prohibited activities, equipment compatibility, and cancellation charges. A merchant account may fit a business differently from its previous platform, but underwriting still applies and approval is not guaranteed.

Also check operational details. Can you issue payment links? Can your current POS connect? Who handles a failed payment or a question about a deposit? Get those answers before announcing that acceptance has been restored.
